hardhatadmin is a versatile solution suitable for all UK-based businesses operating in the construction industry, regardless of their legal structure.

This encompasses a wide range of professionals such as builders, carpenters, plumbers, electricians, joiners, bricklayers, specialists in roofing and flooring, tilers, plasterers, welders, glazers, painters and decorators, stone masons, insulation experts, drainage specialists, asbestos removers, demolition workers, gardeners, handymen, and more.

No matter your specific trade, hardhatadmin is designed to meet the administrative and accounting needs of your construction business.

Our software stands out as the sole online application exclusively designed for the UK construction industry, enabling you to file VAT, Employer, CIS, and Tax returns directly with HMRC. How does hardhatadmin work?

Our web pages have been thoughtfully designed to facilitate the recording, maintenance, and utilization of essential business administration information.

With each transaction, document creation, or information update required by your business, simply navigate to the relevant page and effortlessly complete the task.

All data and documents are securely stored and can be easily accessed, updated, viewed, or deleted until the year-end accounts are finalized. Any pertinent information and documents are then transferred to the next financial year as a new chapter begins.

When notified, you can promptly send HMRC returns and follow any necessary instructions. In the event of any mistakes, corrections can be made swiftly and with ease, ensuring a smooth and accurate administrative process.

Does hardhatadmin meet all my business needs?

Our application offers robust functionality to record, save, access, and send all the necessary information and documents required for the administration of any business involved in construction, property development, maintenance, repairs, or renting of premises, worldwide, specifically tailored to meet UK requirements. With every transaction, document creation, or information update, simply navigate to the relevant page and effortlessly carry out the task.

The application ensures the availability of this information for insightful business analysis, HMRC returns, or other purposes.

It also provides notifications for due dates of HMRC returns and invoices, prepares the HMRC returns, and facilitates their submission.

At the end of each financial year, the application generates a set of accounts and a tax return while preserving useful and necessary data and documents for the new financial year to commence.

Mistakes are rare but easily rectifiable with our user-friendly interface.

The application grants comprehensive access to all recorded data through various means. Users have permanent access to cash, profit and loss, tax accounts, cash flow statements, and balance sheets, which can be accessed through the Facts & Figures menu. This menu also offers breakdowns of wages, invoices, costs, and incomes by categories such as job, property/land type, employee, time period, or type. All documents and data are securely stored and available for download.

What We Don't Do:

  • Our application does not support credit notes
  • The application does not include lease management on the Balance Sheet. This can be addressed using Companies House web services.
  • Offsetting losses may not always be the most tax-efficient option for some businesses
  • Our application does not support accounts and confirmation statement filing with Companies House, this can be easily accomplished using Companies House web services
  • In cases where the default financial statements prepared by the application do not fully meet the business's requirements (legal or otherwise), the business can make its own arrangements to further prepare, file the tax return and financial statements, and make any necessary amendments.

    Which HMRC returns are created and filed using hardhatadmin?

    Our application provides a range of functionalities to assist in various reporting requirements. These are:

  • Quarterly VAT Returns, including EC Sales List
  • CIS verification
  • CIS Monthly Returns (CIS300)
  • Employer Full Payment Submissions (FPS)
  • Employer Payment Summaries (EPS)
  • Not Making Tax Digital for Income Tax
  • Tax Returns
  • Tax Returns cover different aspects based on the business structure and include supplementary parts such as:
  • For sole-traders: SA100, SA103, SA105, SA106, SA108, and SA110
  • For partnerships: SA800, SA801, SA802, and SA803 (SA104 and SA108 are prepared for individual partners to distribute to each partner but cannot be filed using the application)
  • For companies: CT600 and financial statements, including ixbrl Accounts and Computations
  • While Tax Returns can be prepared and filed using the application, it's important to note that if the user is not subscribed to Making Tax Digital for Income Tax and wishes to include additional supplementary parts, the return will be considered incomplete and should not be filed using the application. Even if the return is complete, the user has the option to decline filing the tax return through the application, instead choosing to file independently and make any necessary amendments.

    You can have full confidence in the safety and security of your data when using hardhatadmin. We prioritize the protection of your data and adhere to best practices to ensure its safety.

    It is important to maintain account security by keeping your username and password confidential, known only to authorized individuals who need access to your account.

    hardhatadmin does not store or require any bank details, with the exception of your own and your employees' sort codes if you use BACS for employee payments.

    hardhatadmin strictly uses necessary cookies and adheres to the guidelines and regulations set forth by the General Data Protection Regulation (GDPR) as applicable in the UK, complemented by the Data Protection Act 2018, to ensure compliance and protect your data.

    hardhatadmin is responsible for protecting your data and the lawful basis for processing your data is Legitimate Interest.

    Is hardhatadmin ready for Making Tax Digital for Income Tax?

    Not quite but it will be soon.

    From 6 Apr 2024, individuals who are self employed and/or have property income can voluntarily sign themselves up for Making Tax Digital for Income Tax or wait until they are mandated to do so. For more information, visit: Making Tax Digital for Income Tax for individuals: step by steps

    Indicate participation on sign up or at the beginning of a financial year using My Account.

    Participation requires simply authorising the application to interact with HMRC on your behalf and filing period and annual summaries, tax returns and final declarations using the application.

    The application then provides access to all HMRC business and individual tax records.

    Income and expenditure and annual summaries and tax returns can easily be amended any time before a final declaration.

    When should I start using hardhatadmin?

    It is recommended to begin using the application at the start of a financial year for optimal results. The application relies on a comprehensive record of transactions throughout the financial year to generate complete and accurate accounts.

    In the event that a user starts using hardhatadmin partway through a financial year, they have two options:

  • Summarize and record the transactions made up until the point of starting to use hardhatadmin
  • Individually record each transaction as if starting from the beginning of the financial year
  • By choosing either of these approaches, users can ensure that their accounts are accurately maintained within the application, regardless of when they begin using it during the financial year.

    What information do I need to start using hardhatadmin?

    New businesses can immediately start using the application without any additional requirements.

    However, for existing businesses, it is necessary to capture the business's position at the beginning of the financial year. Users will be guided through a simple process to record essential information such as assets, liabilities, losses to carry forward, jobs in progress, capital introduced, and revaluation reserve.

    If payroll data is being transferred, users will be prompted to input pay and wage cycle dates, upload an employer FPS (Full Payment Submission), and record any relevant statutory leave and periods of incapacity for work.

    By following these straightforward stages, existing businesses can ensure an accurate representation of their financial position at the start of the financial year and integrate their payroll data.

    Do I have to install any software?

    No, but a PDF Reader is necessary to view any documents created such as financial statements, wageslips, CIS payment and deduction statements, invoices and estimates.

    How much does hardhatadmin cost?

    Depending on the selected plan (refer to Plans & Pricing), hardhatadmin offers a free or a monthly subscription fee ranging from £5 to £20. As part of this service, hardhatadmin will include their quarterly invoice within your accounts (if applicable).

    You can conveniently settle this invoice following your regular payment process, treating it just like any other invoice you receive.

    How does the free 60 day trial work?

    To get started with hardhatadmin, all you need to do is create a new user account by setting your own password.

  • No credit card or bank details are required during the registration process
  • You are under no obligation to continue using the service beyond the free 60-day period, which begins on the first day of your financial year start date. This allows you ample time to explore and experience the benefits of hardhatadmin without any financial commitment.

    What happens at the end of the free 60 day trial?

    If subscribed, hardhatadmin will add their quarterly invoice to your accounts; You pay this as you would any other invoice. hardhatadmin costs only between £5 and £20 a month (inc VAT).

    What happens if I forget to pay?

    In the event that you miss payment for your quarterly invoice, we will send you a reminder. If the reminder invoice remains unpaid, your account will be deactivated and removed from our system. There are no further obligations or commitments in such a case.

    To avoid any accidental account closures, we recommend setting up a direct debit for payment after thoroughly testing the product during the 60-day free trial period. This ensures a seamless and uninterrupted experience.

    It's important to note that there is no long-term contract binding you to our services. You have the freedom to download your data at any time and are free to terminate your account whenever you choose.

    Our aim is to provide a flexible and user-friendly experience that respects your preferences.

    Can I transfer an existing payroll to hardhatadmin?

    Certainly, transferring payroll to hardhatadmin is a straightforward process.

    To initiate the transfer, users will need to record pay and wage cycle dates, upload an employer FPS (Full Payment Submission), and document any applicable statutory leave and periods of incapacity for work during the getting started process.

    If the payroll transfer occurs during the financial year, it is possible upon request. To facilitate this, users should send hardhatadmin an employer FPS before commencing the new payroll. Within 24 hours, the new payroll will be available for use.

    The application is fully RTI compliant and supports various payroll schemes and features, including:

  • Weekly and monthly payroll schemes
  • Part-time employees
  • Additional payments between paydays
  • Payments after leaving
  • Overtime
  • Bonuses
  • Flexible non PAYE deductions
  • Employment Allowance
  • Costing to jobs
  • Breakdowns of wages in various ways (deductions and contributions, employee, job, tax and financial year, etc.)
  • BACS (Standard 18) Payment Instruction Information
  • However, please note that the application does not support irregular, fortnightly, and four-weekly pay periods, BACS (Standard 18). Payment Instruction Information reporting, and pension reporting to pension providers.

    For more detailed information, please consider the following:-

  • Weekly employees can be paid an hourly or weekly rate, while monthly employees receive a monthly rate
  • The Weekly Wage Cycle runs from Saturday to Friday, with employees typically being paid on the Friday following the end of the wage cycle or any day up to and including the subsequent Friday
  • The Monthly Wage Cycle corresponds to a calendar month, and employees are usually paid on a regular monthly wage pay date. This pay date can be the last day of the same month, any date up to the 28th, the last working day, or the last day of the subsequent month
  • Regular paydays and employee pay periods for both weekly and monthly schemes can be adjusted, but wage cycles cannot be modified
  • New employees can join existing weekly or monthly pay schemes, or a new pay scheme can be created
  • It is necessary to record regular wages for each employee in a pay scheme, and the pay schemes must be reported consecutively
